VenueOra

Nightclubs and bars

The guest shows ID before the door and scans in on arrival

VenueOra gives nightclubs and late-night bars one record per guest: event tickets with age rules and passwords, discount codes, a passport or driving licence checked on the guest’s phone before they reach the door, QR check-in, an incident log and lockers opened by PIN.

A day at your venue

What happens, in order

  1. 01

    Buy the ticket

The guest buys a ticket. Each ticket type has its own price, capacity and age restriction, and a discount code or campaign URL ties the sale to a promoter or a flyer. It lands in Apple Wallet or Google Wallet.

  2. 02

    Show ID before the door

At purchase, VenueGo, a verification platform designed for venues, asks for a face, then a passport or driving licence, then a photo holding it. The result is approved, declined or needs review before the guest joins the queue.

  3. 03

    Scan in at the door

Door staff scan the QR code on a phone or a kiosk. A ticket already used is rejected. Reception mode shows the current event with guestlist search by name, order or ticket for the guests on the list.

  4. 04

    Log a refusal

A refusal or incident is logged with the people involved, the venue, the staff member and a member lookup, and the history is searchable. The physical check and the decision to refuse stay with the door.

  5. 05

    Lock up coat and phone

Instead of a cloakroom queue, the guest hires a locker from the door or kiosk and opens it with a PIN sent by email or an NFC tag. LockVault, our smart-locker service, supplies the hardware on revenue share.

  6. 06

    Order at the bar

Bar tills and card machines come from Posso UK, our hardware and installation partner, and VenueOra provides payment processing on the Posso platform. The till is a separate system from the ticket record.

The stack

What the venue runs on

  1. Ticket types with age rules

Club nights, live acts and general entry sell as events with several ticket types, each with its own price and capacity. Rules per type include age restrictions, members only and password-protected tickets. Capacity and sales are live.

  2. Challenge 25 before the door

VenueGo checks age on the guest’s own phone when they buy a ticket, reading UK, Irish and US passports and driving licences. A session lasts 24 hours with three attempts, and under-age declines are never retried into a pass.

  3. QR check-in and reception mode

Door staff scan the QR code on a phone or kiosk, and a ticket already used is rejected. Reception mode shows the current event with guestlist search by guest, order or ticket, check-in and guestlist analytics.

  4. Incident and refusal log

Each incident or refusal is recorded with the people involved, the venue, the staff member and a searchable history. The compliance document store holds the insurance, fire assessment and electrical certificates a licensing visit asks for.

  5. Lockers instead of a cloakroom

LockVault, our smart-locker service, installs locker banks at no upfront cost. Guests hire from the door or kiosk and open with a PIN or NFC; staff release or emergency-unlock from the dashboard. The venue receives a share of rental revenue.

  6. Card machines at every bar

Contactless and chip and PIN card machines with next-day settlement come from Posso UK. VenueOra provides payment processing on the Posso platform, and card data never touches your tills, kiosks or lockers.

The guestlist at the door

Door staff search the guestlist by name, email or ticket code, see who is due to arrive and who is already in, and check guests in with one tap from the same row.

An event guestlist table with attendee, ticket, paid, purchased and status columns, filter tabs for all, due to arrive and checked in, and a check-in button and resend link on every row. Names and contact details are blurred.

Outcomes

What changes for your venue

01

A door that moves

Guests whose passport or driving licence was checked at purchase arrive with a result already on their record. Door staff scan a QR code and see it; the physical check and the decision to refuse stay with them.

02

Promoters you can measure

A discount code or campaign URL per promoter, flyer or social post shows which one sold the tickets. Codes can be single or multi-use, capped, dated and limited to one event or run across all of them.

03

A cloakroom that pays you

LockVault lockers replace the cloakroom rail and the staff on it. No upfront cost, no operating cost; the venue receives a share of gross rental revenue with an itemised statement on the 1st of each month.

Why one platform

One guest record from the ticket to last orders

Late-night venues run door, bar and cloakroom as three businesses. VenueOra puts the ticket, the age result, the check-in, the refusal log and the locker on one guest record, with Posso UK on the tills and LockVault on the lockers.

What the check does not do

VenueGo reads the document in the camera. It does not look up DVLA, the passport office, or any other government database, and it does not read a passport chip. A clear result is not proof a document is genuine. It does not replace a premises licence, a challenge at the bar, or legal advice.

Posso on the tills

Bar tills, kitchen display, digital menu boards and card machines are supplied, installed, trained and supported by Posso UK. VenueOra provides payment processing on the Posso platform. The tills are a separate system from the ticket record.

Your licence stays yours

VenueGo gives the door a result from the guest’s own phone, as a document check before arrival rather than digital proof of age at the bar. The premises licence, Challenge 25 and the licensing conditions remain the venue’s own obligations.

Data handled in the UK

VenueGo processing runs in London, data is encrypted in transit and at rest and stored in the UK, and images are deleted after 30 days unless a review is open.

FAQ

Questions venues ask

Does the age check replace Challenge 25 at the door?

No, VenueGo adds a document check on the guest’s phone before they arrive; the Challenge 25 policy, the premises licence and the physical challenge at the door and bar stay with the venue. The result tells door staff that a face, a document and a photo holding it were captured, and whether the result was approved, declined or needs review. It does not look up any government database or read a passport chip. Staff still ask when they are not sure.

What ID can guests use for the age check?

UK, Irish and US passports and driving licences. The guest photographs their face, then the document, then themselves holding the document, all in the VenueGo flow on their own phone. A session lasts 24 hours with three attempts, and an under-age decline is never retried into a pass. It is a document check before arrival, not digital proof of age presented at the bar; other documents are checked at the door as they are today.

Is VenueOra a full nightclub management software platform for UK venues?

It covers event tickets with age rules and passwords, discount codes and campaign URLs, the VenueGo check before the door, QR check-in with reception mode and a guestlist, an incident and refusal log, a compliance document store and locker management, with LockVault on the locker hardware and Posso UK on the bar tills. Ticketing is £0 a month and £1.50 per ticket on the Free plan, or £150 a month and 80p per ticket on the Venue plan. VenueGo plans start at £0 for 25 checks.

Who installs and supports the bar tills and card machines?

Posso UK, our hardware and installation partner, supplies, installs, trains and supports the ePOS tills, kitchen display, digital menu boards and card machines, with UK-based support. VenueOra provides the payment processing on the Posso platform and custom integrations. Card machines take contactless and chip and PIN with next-day settlement. The tills are a separate system from the ticket record, so bar takings are reported by the till, not in VenueOra.

How do lockers work instead of a cloakroom?

A guest hires a locker from the door or a kiosk and opens it with a PIN sent by email or an NFC tag. Staff see every locker by colour, side and number, assign one to a guest or ticket, release or emergency-unlock it and mark it out of service. LockVault, our smart-locker service, supplies and runs the locker banks at no upfront or operating cost to the venue, and the venue receives a share of rental revenue.

What happens to the ID images after the check?

Images are deleted after 30 days unless a review is open. Processing runs in London, data is encrypted in transit and at rest, and it is stored in the UK. The venue receives the result, approved, declined or needs review, against the guest’s ticket record. Who is data controller for that record is for the venue’s own data protection assessment; our guide on nightclub ID scanning sets out the questions to ask.
